Key Responsibilities
Job Profile / Responsibilities:
The Assistant Program Coordinator will support the Registration Office in managing academic operations, ensuring smooth coordination between faculty, students, and administration. The role is both operational and strategic, focusing on compliance, communication, and execution.
Key Responsibilities include:
- Assist in managing academic calendars, course scheduling, and classroom logistics.
- Support faculty in course file management, timetables, and exam planning.
- Coordinate with exam branch, registrar office, and quality assurance cells.
- Serve as the first point of contact for student academic queries, grievances, and feedback.
- Maintain accurate student records (attendance, results, course registration, etc.).
- Facilitate with final year project (FYP) coordination.
- Draft academic notices, meeting minutes, and departmental memos.
- Assist in managing departmental correspondence and academic documentation.
- Liaise with finance, HR, and admin for academic events and visiting faculty appointments.
- Assist in curriculum reviews, accreditation processes (e.g., NCEAC, PEC, HEC compliance).
- Support data compilation for audits and annual program reports.
- Use Campus Management System (CMS) and Learning Management Systems (LMS) for record keeping.
- Generate academic reports and analytics as needed.
Selection Criteria:
Educational Qualification & Experience:
Bachelor’s Degree (16 years) in Management Sciences, Education, Computer Science, Social Sciences, or relevant discipline with minimum 1-2 years of experience in academic coordination, preferably in a university or higher education institution.
Or
Bachelor’s Degree (14 years) in Management Sciences, Education, Computer Science, Social Sciences, or relevant discipline with minimum 4-5 years of experience in academic coordination, preferably in a university or higher education institution.
Technical Skills:
- Proficient in MS Office (Word, Excel, PowerPoint)
- Familiarity with academic software tools (CMS, LMS, SIS)
- Comfortable with data handling, report writing, and student database management
Soft Skills:
- Strong verbal and written communication skills in English and Urdu.
- Problem-solving mindset with strong attention to detail.
- Time management and ability to handle multiple tasks under pressure.
- Professional demeanor and collaborative attitude.
