Job Summary:
The Deputy Manager Admin & Procurement is responsible for managing administrative operations, facility management, and procurement activities of the organization. The role ensures cost-effective sourcing of goods and services, smooth administrative functioning, vendor management, and compliance with organizational policies.
- Administration Management
- Oversee day-to-day administrative operations across office/factory/site.
- Manage facility management including housekeeping, security, transport, utilities, and office maintenance.
- Ensure availability of office supplies, assets, and services.
- Supervise admin staff and outsourced service providers.
- Develop and implement administrative policies and procedures.
- Procurement Management
- Plan and execute procurement of goods, services, and equipment as per organizational needs.
- Develop and manage vendor database and ensure competitive sourcing.
- Float RFQs, evaluate quotations, and conduct price comparisons.
- Negotiate contracts, pricing, and payment terms with suppliers.
- Ensure timely procurement while maintaining cost efficiency and quality standards.
- Vendor & Contract Management
- Develop strong relationships with vendors and service providers.
- Monitor vendor performance and ensure SLA compliance.
- Handle contract renewals, negotiations, and dispute resolution.
- Inventory & Asset Management
- Maintain accurate records of inventory and fixed assets.
- Ensure proper stock levels of essential items.
- Conduct periodic audits and reconciliation of assets.
- Budget & Cost Control
- Assist in preparation and monitoring of admin and procurement budgets.
- Identify cost-saving opportunities without compromising quality.
- Ensure adherence to approved financial limits and procurement policies.
- Compliance & Reporting
- Ensure compliance with internal policies and audit requirements.
- Maintain procurement documentation and records for audit purposes.
- Prepare regular reports on procurement activities, savings, and vendor performance.
- Coordination & Support
- Coordinate with finance, HR, operations, and production departments.
- Support management in special projects, events, and operational initiatives.
Education:
- Bachelor’s degree in Business Administration, Supply Chain Management, Commerce, or related field
Experience:
- 5–8 years of relevant experience in administration and procurement
