POSITION SUMMARY:

The EHS Administrator supports the workflow of essential documentation and administrative support to the Environmental Health & Safety department across multiple company sites reporting to the Supervisor, EH&S. This entry-level role is responsible for maintaining accurate EHS records, tracking regulatory documentation, and ensuring that safety data and compliance files are organized and up to date. The Administrator works under the direction of EHS Coordinators and senior EHS staff to support consistent documentation practices and reporting across all sites. This position is ideal for an individual looking to begin a career in EHS with a focus on data management, recordkeeping, and cross-site administrative coordination.

PRIMARY RESPONSIBILITIES:

  • Maintain and organize EHS documentation, records, and compliance files for multiple sites, ensuring accuracy and accessibility.
  • Track and log required safety inspections, audits, corrective actions, and training completions across all assigned sites.
  • Enter safety incident data, near-miss reports, and environmental metrics into EHS management systems and spreadsheets.
  • Prepare and distribute standard EHS reports, dashboards, and compliance summaries as directed.
  • Assist with the distribution, collection, and filing of safety forms, SOPs, permits, and regulatory documents.
  • Coordinate scheduling and documentation logistics for safety training sessions, drills, and Safety Committee meetings.
  • Monitor expiration dates of certifications, permits, and required regulatory submissions; alert EHS staff of upcoming deadlines.
  • Support the onboarding process by ensuring new-hire EHS documentation and training records are complete and filed correctly.
  • Respond to routine internal requests for EHS records or documentation and route more complex inquiries to appropriate EHS staff.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • High school diploma or GED required; Associate’s or Bachelor’s degree in a related field (environmental science, business administration, health sciences, or similar) preferred.
  • 0–1 year of experience in an administrative, data entry, records management, or EHS-support role; internship experience accepted.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with EHS management software or databases is a plus.
  • Strong organizational skills with high attention to detail and accuracy.
  • Ability to manage and prioritize multiple documentation tasks across several sites simultaneously.
  • Clear written and verbal communication skills.
  • Interest in EHS as a career path encouraged; professional certification (e.g., ASP, CHMM) is not required but may be supported over time.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Basic familiarity with workplace safety concepts or environmental compliance (can be developed on the job).
  • Comfort working with data, forms, and document management systems.
  • Ability to maintain confidentiality and handle sensitive compliance records with discretion.
  • Self-motivated with the ability to work independently on routine tasks with minimal supervision.
  • Collaborative and service-oriented; comfortable supporting a distributed team across multiple locations.
  • Adaptable and able to learn new software, regulations, and procedures quickly.

PHYSICAL DEMANDS & WORK ENVIRONMENT:

This position is primarily performed in an office or remote setting and requires the ability to use a computer keyboard, communicate over the telephone, and read printed and digital material for extended periods. Occasional visits to laboratory or facility sites may be required to support documentation collection or audits, which may involve walking through operational areas. Some duties may require working outside normal business hours to meet reporting deadlines or support multi-site coordination. Ability to lift up to 20 pounds (e.g., filing boxes, safety binders) may be required on occasion.
