The purpose of this position is to assist in extending services support to the Corporate Communication department, and ensuring compliance to various internal and external processes, procedures, policies, laws, rules, etc. The position is responsible to prepare new departmental processes, procedures, policies and update existing ones at least once every year, in order to provide effective operational support within the organization.
Eligibility / Qualification Required:
MBA or equivalent with at least 4 years of experience in in related discipline or comparable functional roles. Mid-career professionals, experienced candidates with diverse industry backgrounds, and individuals with experience in public sector, regulated, or large organizations are strongly encouraged to apply.
Job Description / Responsibilities:
- Facilitate departmental DFP oracle ERP system and generation of requisitions for IT & Stores departments.
- Facilitate, coordinate and guide departmental users on various Procurement procedures for compliance.
- Identify process improvement opportunities across the department, using data analysis and stakeholder input. Advise GCD senior management on process improvement initiatives, and develop business cases to justify investments in new technologies or process improvements.
- Develop and implement process improvement initiatives, including process reengineering, automation, and standardization. Communicate regularly with stakeholders to ensure that they are aware of process changes, and provide training and support to facilitate successful adoption of new processes.
- Work closely with cross-functional teams to ensure that process improvements are aligned with business goals and objectives.
- Create and maintain documentation of updated processes, procedures, and work instructions to drive process standardization and improve efficiency. Analysing existing business processes to identify inefficiencies or bottlenecks.
- Identify and manage risks associated with new or changed processes, and ensure that appropriate controls are in place. Developing and maintaining process documentation to ensure clear communication of workflows across teams.
- Establish metrics to track and report on process performance, and ensure that data is collected and analyzed to identify areas for improvement.
- Assist in identification and suggest improvements within the new and existing processes, procedures, and automation in order to provide effective operational support within the organization.
- Designing and implementing strategies for process optimization, cost reduction, and quality enhancement through process management, procedures development and policy initiatives.
- Leading cross-functional teams to drive continuous process improvement initiatives and ensuring alignment of processes with business goals.
- Monitoring key performance indicators (KPIs) to assess the effectiveness of process changes.
- Implementing new technologies or tools to automate and streamline processes.
- Conducting regular audits to ensure compliance with industry standards and company policies.
- Demonstrated ability to review, streamline, and improve operational processes, including documentation, workflows, SOPs, and coordination mechanisms.
- Strong written and verbal communication skills with proven capability to work across multidisciplinary teams and manage competing priorities.
- Working knowledge of office productivity tools, reporting systems, and basic communication technologies; experience in process mapping, compliance support, or continuous improvement initiatives will be considered an advantage.
- Providing training and support to staff on new processes and best practices.
- Undertake any other assignment relating to departmental financial health, as directed by CCD management.
