Overview
The Facilities Admin Assistant will oversee the day-to-day monitoring and implement preventive and corrective maintenance of the facilities' Electrical, Mechanical, Sanitary/Plumbing, UPS, CCTV, Security Access, and Fire Detection and Alarm Systems to ensure safety and maintain the site.
Responsibilities
Key Responsibilities- Assist in the daily inspection and monitoring of building facilities, including HVAC, electrical, plumbing, and other systems
- Coordinate and follow up on preventive maintenance schedules and corrective repairs
- Support vendor coordination, including access, supervision, and work completion validation
- Maintain records of maintenance activities, service reports, and facility documentation
- Assist in monitoring utility consumption (electricity, water) and report any irregularities
- Respond to facility-related requests, incidents, and emergencies in a timely manner
- Ensure compliance with safety standards, company policies, and regulatory requirements
- Conduct routine walkthroughs to identify issues and recommend corrective actions
- Assist in inventory management of tools, equipment, and consumables
- Support office setup, workstation moves, and space planning activities

Qualifications
- Technical certification in Engineering, Facilities Management, or a related field (preferred)
- At least 1–2 years of experience in facilities, building maintenance, or a similar role
- Basic knowledge of building systems (HVAC, electrical, plumbing)
- Familiarity with preventive maintenance processes and safety standards
- Good communication and coordination abilities
- Proficient in Microsoft Office (Excel, Word, Outlook)
