Administrative Assistant to support the
Dean’s Office. The role is responsible for providing administrative, clerical, and coordination support to ensure smooth daily operations while maintaining professionalism, confidentiality, and effective communication with internal and external stakeholders.
Key ResponsibilitiesAdministrative & Clerical Support- Perform daily administrative tasks including filing, data entry, document preparation, and maintaining organized office systems
- Draft, edit, proofread, and prepare emails, reports, memos, letters, and official documents
- Ensure accuracy in scheduling, documentation, and communication records
- Maintain organized physical and digital filing systems
Scheduling & Coordination- Manage calendars, appointments, meetings, and events for the Dean’s Office
- Coordinate departmental meetings, workshops, and official activities
- Prepare agendas, meeting minutes, and follow-up action items
Communication & Stakeholder Support- Handle incoming and outgoing communication professionally and efficiently
- Serve as a point of contact for faculty, staff, students, visitors, and external stakeholders
- Maintain professionalism, responsiveness, and confidentiality in all interactions
Collaboration & Office Support- Coordinate with academic and administrative departments to support operational needs
- Assist with office logistics, document tracking, and administrative processes
- Support special projects, accreditation activities, and institutional events as assigned
Technology & Documentation- Utilize Microsoft Office and digital systems for scheduling, reporting, and communication
- Maintain accurate records and ensure timely submission of required documentation
Requirements
- Diploma or Bachelor’s degree in Business Administration, Management, or related field
- 1–3 years of administrative or clerical experience, preferably in an academic environment
- Strong organizational and time-management skills
- Excellent written and verbal communication skills in Arabic and English
- Proficiency in Microsoft Office and office management systems
- Ability to handle confidential information professionally
